NHPT — Terms & Conditions

1) Scope & Definitions

  • Client: the person or company booking our services.
  • Event: the date, time window, and location stated on your confirmation.
  • Services: mobile pizza catering and related staffing.
  • Menu: selections confirmed in writing prior to the Event.

2) Booking, Deposit & Payments

  • A nonrefundable Event Booking Deposit of $250 is required to reserve your date; your booking isn't confirmed until the deposit is paid and we confirm with a call. The deposit is applied to your final balance.
  • The remaining balance is to be settled at the conclusion of the Event Time and Day, unless specified differently on your invoice. Balances that remain unpaid 48 hours after service may be subject to a 20% late fee.
  • We accept down payments via Stripe (cards, Apple Pay/Google Pay, etc.). Any processing fees and bank/chargeback fees are the Client's responsibility.

3) Cancellations, Reschedules & Headcount Changes

  • Client cancellation: Deposit is refundable If you cancel ≥7 days before the event. A partial refund of %50 will occur within the 7 days before event date.
  • Reschedules: One date change is permitted ≥7 days before the Event subject to our availability; new pricing may apply.
  • Headcount: Final guest count is due 48 hours prior. We plan production and staffing from this number.

4) Service Window & Setup

  • Standard service is 1.5 hours of active pizza service, plus ~30-60 minutes prior event for setup and ~15-30 minutes after event for cleanup.
  • We arrive at least 30-60 minutes before service to heat the wood-fired oven.

5) Site Requirements

  • Clear, legal access for our truck/trailer: level space of ~ [30–40 ft] length × [10–12 ft] width × [12 ft] height clearance.
  • Outdoor setup is required; we cannot operate indoors or in enclosed garages/tents without proper ventilation and fire-safety approvals.
  • Client is responsible for obtaining site permissions, fire marshal permits, and any venue approvals.
  • Adequate lighting after dark, and safe guest flow around the hot oven must be provided.

6) Weather, Safety & Force Majeure

  • Wood-fired service is weather-dependent. For severe weather (e.g., high winds, lightning, flooding, government advisories), NHPT may pause, relocate on site, delay service, or reasonably modify the menu for safety.
  • If conditions prevent safe operation, we'll coordinate a good-faith reschedule; deposits remain partially refundable.
  • NHPT is not liable for delay or nonperformance caused by events beyond our control (force majeure), including but not limited to acts of God, utility failure, labor disputes, or governmental actions.

7) Menu, Dietary & Allergens

  • Our menu may change with seasonality and availability. Comparable substitutions may be made as needed.
  • Allergen Notice: Our products are prepared in a shared environment that may contain wheat/gluten, dairy, nuts, sesame, eggs, and other allergens. Cross-contact can occur.
  • Gluten-Free: NHPT does offer gluten-free pizzas.
  • Upon request, we can provide vegan and dairy-free options; availability may vary.

8) Food Service, Leftovers & Food Safety

  • We serve continuously during the contracted service window and pace pies to the crowd.
  • For food-safety reasons, once food has been served to guests or held outside of our controlled temperature, Client assumes responsibility for any leftovers. At our discretion, we may leave boxed leftovers upon request.

9) Staffing, Equipment & Damage

  • Only NHPT staff may operate our oven and equipment.
  • Client is responsible for any damage to NHPT equipment or vehicle caused by Client, guests, or vendors, excluding normal wear.
  • We carry general liability insurance; proof of insurance available upon request. NHPT is not responsible for injuries arising from guest negligence, unsafe site conditions, or third-party actions.

10) Client Obligations

  • Provide accurate access instructions, parking details, and site contact at least 5 days prior.
  • Ensure the site is free of hazards (low branches, debris, snow/ice) and compliant with local codes.
  • Coordinate other vendors so lines, tent stakes, and décor do not block our setup or create safety risks.

11) Alcohol

NHPT does not sell or serve alcohol. If you serve alcohol at your Event, you agree to comply with all laws and venue rules and to assume responsibility for associated risks.

12) Photos & Marketing

We may photograph or film our setup and products during the Event and use such materials for marketing, excluding identifiable minors unless a parent/guardian provides consent. If you prefer no photography, notify us in writing before the Event.

13) Taxes, Gratuity & Fees

  • Prices are exclusive of applicable taxes and venue fees unless stated otherwise.
  • Gratuity is optional and appreciated; some corporate invoices may include a service charge—this will be clearly labeled.

14) Refunds & Chargebacks

  • Except as expressly stated, all payments are final.
  • Client agrees not to initiate chargebacks without first contacting NHPT to resolve issues in good faith. Unwarranted chargebacks and related fees will be invoiced to Client.

15) Limitation of Liability

To the maximum extent permitted by law, NHPT's total liability for any claim arising out of the Services is limited to the amount paid to NHPT for the Event. In no event are we liable for indirect, incidental, special, or consequential damages.

16) Indemnification

Client agrees to indemnify and hold harmless NHPT, its owners, and employees from claims, damages, or expenses (including reasonable attorneys' fees) arising from Client's breach of these Terms, site conditions under Client's control, or actions of Client's guests/vendors.

17) Changes & Substitutions

Reasonable changes to service flow, timing, or menu may be made on site to ensure safety and food quality. Material changes requested by Client may incur additional charges.

18) Privacy & Data

We process payments via Stripe; card data is handled by Stripe under its security standards. See Stripe Privacy Policy at their website.

19) Governing Law & Disputes

These Terms are governed by the laws of the State of Florida (without regard to conflict-of-law rules).

20) Entire Agreement & Updates

  • Your invoice/confirmation, any addenda, and these Terms constitute the entire agreement.
  • We may update these Terms from time to time; the version in effect on your invoice date applies unless both parties agree otherwise.

21) Photography, Video & Marketing Use

Consent. Client authorizes NHPT to photograph and/or record video/audio of our setup, food, and the Event environment (“Media”) during the Service for marketing purposes (including but not limited to our website, social media, advertisements, press, portfolios, proposals, and listings).

People in Media. We avoid identifying guests without permission. We will not knowingly publish identifiable images of minors without verifiable parent/guardian consent.

License / Release. Client grants NHPT a worldwide, perpetual, royalty-free, irrevocable license to use, reproduce, edit, publish, and distribute the Media in any format, with or without attribution. Client represents they have authority on behalf of the venue/host to grant this license for the Event setting.

No Compensation. No payment is due for creation or use of the Media.

Opt-Out. If Client prefers no photo/video capture or limited use, Client must notify NHPT in writing at least 72 hours before the Event at Info@nhpizzatruck.com. We will make reasonable efforts to honor no-photo zones and avoid capturing identifiable guests.

Takedown Requests. If a guest later requests removal of an identifiable image, email Info@nhpizzatruck.com with a link and/or screenshot; we will make reasonable efforts to remove or blur the image in future uses.

Client-Provided Media. If Client shares photos or video with NHPT (for example via email, text message, file sharing, or social media tags), Client grants NHPT permission to repost and use that media for marketing, with credit where feasible.

Privacy. We do not sell or separately monetize personal data associated with social media embeds or third-party platforms used for showcasing the Media.

The Waiver

OFF ROAD WAIVER: New Haven Pizza TruckLLC

  • It is advised to operate the New Haven Pizza Trailer exclusively on paved surfaces.
  • The minimum weight of the trailer is 8,000 lbs. Their presence will create an indentation of an inch or more on the grass. This has the potential to damage septic lines, wells, and sprinkler systems.
  • Although the ground may seem solid and dry, sinkholes and soft spots can be hidden and may lead to the trailer sinking into the yard.
  • Our drivers lack experience in off-road operation of this vehicle, and we do not make any representations regarding their ability to navigate obstacles in your backyard or execute specific turns. The staff is not required to engage in any activities they consider unsafe, irrespective of prior instances where others may have done so.
  • Our trailers are typically reserved for various events throughout the day and weekend. If they become immobilized, we will contact a towing service to extract the trailer. The towing cost will be included in the invoice for the event. We disclaim any responsibility for repairs related to damage incurred to the property as a result of the operation of the tow truck or trailer off-road. I acknowledge the warnings presented by New Haven Pizza Truck and accept complete responsibility for any potential damage and towing fees that may arise.
